Client Profiles

Every client in BusyBook has a detailed profile page. To view it, go to Clients > Client List and click on a client’s name.

At the top of every client profile you’ll see:

  • Client name and avatar
  • Contact information — Phone and email
  • Membership tier (if the client is a member)
  • Quick action buttons — Book an appointment, send a message, or start a checkout

The profile is organized into tabs so you can quickly find what you need:

The main overview tab showing the client’s contact information, address, source (how they found you), birthday, occupation, and any general or medical notes. Edit any field by clicking the edit button.

A chronological list of all past and upcoming appointments for this client, including date, service, provider, status, and amount. Book a new appointment directly from this tab.

SOAP notes and session records from past visits. Each session includes the treatment documentation created during or after the appointment.

Free-form notes about the client. Use this for anything that doesn’t fit in the structured fields — personal preferences, conversation reminders, or follow-up items.

A log of all messages exchanged with this client across every channel — iMessage, SMS, email, and in-app messages. View the full conversation history in one place.

Interact with the AI assistant in the context of this specific client. The assistant has access to the client’s history and can answer questions like “When was their last appointment?” or “What services have they booked?”

A timeline of all actions related to this client — appointments booked, messages sent, payments processed, and status changes.

View submitted intake form responses. See what health history, preferences, and consent information the client has provided.

Financial details including outstanding balances, cancellation fees, and payment history. If the client has unpaid cancellation fees, you can charge them directly from this tab.

  • Emails — Email history with the client
  • Photos — Session photos and progress images
  • Consents — Signed consent forms
  • Documents — Uploaded documents
  • Referrals — Referral tracking for this client
  • Incidents — Documented incidents or complaints
  • Progress — Client progress tracking over time

The client list page shows key performance indicators across your client base, including total active clients, new clients this month, and retention metrics. These appear in a KPI band above the client table.

Click the export button on the client list to download your client data as a CSV file for use in other tools or for your records.
